1. Who we are

Kerry Dickens, a sole proprietor trading as "Caregevity" ("we", "us", "our"), provides the Caregevity caregiving platform. We act as the data controller for personal data processed in connection with your account and your use of the Service. You can reach us at hello@caregevityagency.com.

2. Personal data we collect

  • Account data: name, email address, password (hashed), account type (individual or HR admin).
  • Profile & care data: information you choose to add about yourself, your family members, schedules, documents, notes, and care logs.
  • Communications: messages you send to support and content you submit to the AI assistant.
  • Usage & device data: IP address, device and browser identifiers, pages viewed, and basic telemetry.
  • Billing data: handled by Paddle as Merchant of Record (see Section 5). We receive limited transaction metadata (e.g. plan, status, last 4 digits) but not full card numbers.

3. How we use personal data

  • To create and manage your account and provide the Service (legal basis: contract performance).
  • To process subscriptions and prevent fraud (contract / legitimate interests).
  • To provide customer support and respond to inquiries (contract / legitimate interests).
  • To improve the Service, fix bugs, and develop new features (legitimate interests).
  • To send important service announcements (contract / legitimate interests) and, with your consent, marketing.
  • To comply with legal obligations (legal obligation).

4. Sensitive information

Caregevity is used to coordinate care, which may include health-related notes about you or your family members. You decide what information to enter. Please only include information you are authorized to share. Do not use the Service as a medical record system or as a substitute for advice from a qualified healthcare professional.

5. Sharing your data

We share personal data only with the following categories of recipients:

  • Service providers / subprocessors — hosting, database, email, AI processing, and analytics providers acting under contract.
  • Paddle.com — our Merchant of Record for sale of the Service, subscription management, payments, tax compliance, and invoicing.
  • Family members or HR administrators — only where you (or your employer) have explicitly invited them and shared specific information with them.
  • Professional advisers — legal, accounting, and similar advisers under confidentiality.
  • Authorities — where required by law, court order, or to protect rights and safety.

We do not sell your personal data.

6. Data retention

We keep personal data for as long as your account is active and for a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymize it.

7. Security

We use appropriate technical and organizational measures to protect personal data, including encryption in transit, access controls, and regular review of our systems. No system is perfectly secure; please use a strong password and keep your credentials confidential.

8. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent. To exercise any of these rights, email hello@caregevityagency.com. We will respond within the time required by applicable law (typically within one month for users in the UK/EEA). You may also lodge a complaint with your local data protection authority.

9. International transfers

Some of our service providers are located outside your country. Where personal data is transferred internationally (including from the UK or EEA), we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

10. Cookies

We use cookies and similar technologies that are strictly necessary to operate the Service (e.g. authentication and session management). If we add analytics or marketing cookies in the future, we will request your consent and provide a way to manage your preferences.

11. Children

The Service is intended for adults. While caregivers may track information about their children inside their own accounts, children should not create their own Caregevity account.

12. Changes

We may update this Privacy Notice from time to time. Material changes will be communicated through the Service or by email.
